Supplement / Amendment: Request for funds on an active project, and within the original period of performance
Continuation: Request for funds on an active project, and extending the period of performance
Renewal: Request for funds to initiate the next competitive cycle of a previously funded project
Pre-Proposal: Request for approval to submit a proposal for funding

Sponsored Research: Research and development activities that are sponsored by Federal and non-Federal agencies and organizations. This term includes activities involving the training of individuals in research techniques (commonly called research training) where such activities utilize the same facilities as other research and development activities and where such activities are not included in the instruction function. (2 CFR 200, Appendix III)
- Research – Basic: Work undertaken primarily to acquire new knowledge without any particular application or use in mind. (NSF HERD Survey)
- Research – Applied: Work conducted to gain the knowledge or understanding to meet a specific, recognized need. (NSF HERD Survey)
- Research – Development: The systematic use of the knowledge or understanding gained from research directed toward the production of useful materials, devices, systems, or methods, including the design and development of prototypes and processes. (NSF HERD Survey)
Sponsored Instruction: Teaching and training activities of an institution. Except for research training, this term includes all teaching and training activities, whether they are offered for credits toward a degree or certificate or on a non-credit basis, and whether they are offered through regular academic departments or separate divisions, such as a summer school division or an extension division. (2 CFR 200, Appendix III)
Other Sponsored Activity: Programs and projects financed by Federal and non-Federal agencies and organizations which involve the performance of work other than instruction and organized research. Examples of such programs and projects are health service projects and community service programs. (2 CFR 200, Appendix III)
Fellowship: Fellowships are classified as resources restricted to provide financial aid and trainee stipends to graduate students to aid in the individual’s pursuit of study or research. Typically, this sub-category includes grants-in-aid and trainee stipends to graduate students. Fellowships are a common form of aid typically awarded to graduate students, and recipients of fellowships are not expected to render service to the institution as consideration for their fellowship, nor are they expected to repay their fellowship award. Thus, fellowships do not include funds for which services to the institution must be rendered, such as assistantships or payments for teaching, which both require performance or service on the part of the individual. Clinical Trial: The project is, or will be, one or more of the following:
- Registered in clinicaltrials.gov;
- A controlled, clinical testing of Investigational New Drugs (INDs) or Investigational Devices (IDEs) using either a sponsor or investigator developed protocol under an FDA Phase I, II, III, or IV drug study or an FDA-regulated medical device study, or the controlled clinical testing of a protocol performed under the sponsorship of an approved national cooperative consortium for clinical trial services; or
- Submitted to NIH and meets NIH definition for Clinical Trials in NOT-OD-15-015
- Select the Project Dates
- Enter the Project Title

- Search for the Sponsor
- Enter the text in Sponsor to automatically search (optional)
- Select the Sponsor
Note: Search by either sponsor acronym or sponsor name (Example: NSF or National Science Foundation) OR
- Click the Sponsor Lookup icon
- Enter the search criteria by Sponsor Code, Sponsor Name, Acronym or other fields (optional)
Note: Use * for wildcards
- Click the Search button
- Locate the sponsor and click the Select button
Note: If the Sponsor cannot be located in the system, select Sponsor Not Listed. Then click the Can’t find a sponsor? Find ‘Sponsor Not Listed’ or Type ‘116851’ and click here to request a new sponsor here link
- For Continuation and Supplemental/Amendment proposals only:
- Click the Lookup/Search button
- Type in the Banner Grant Code for the active project
- Click the Search button
- On the corresponding record, press the Select button
Note: The Related Award (Award ID) and Banner Grant Code autopopulate.
- Click the Save and Continue button

- Enter in a Prime Sponsor Code if funds originated from a source other than the Sponsor (optional)
- Enter text in Prime Sponsor Code to automatically search (optional)
- Select the Sponsor

- Enter the search criteria by Sponsor Code, Sponsor Name, Acronym or other fields (optional)

- Select who will submit the proposal to the Sponsor (Central Office or Unit) in Submission By
- Select a Submission Type

Do Not Mail: Select if the proposal is submitted for an agreement that has already been received
Electronic: Includes submission via a sponsor online portal or an email to the sponsor
Overnight: Express mail, i.e. UPS or Fedex
US Mail: Regular mail via the US Postal Service
- Enter the Number of Copies (if applicable)
- Enter the Sponsor Mailing Address or Electronic Submission System
Note: For Electronic Submission System, specify the agency or electronic system information
UIUC Only Note: If you selected US Mail, the Sponsor Mailing Address is required
- Click the Save and Continue button to advance to the next screen

- Enter the Sponsor Deadline in Central Standard Time
Note: Time is entered in military time OR using AM/PM (Examples: 17:00 or 05:00 PM)
Note: If this is a subaward, enter the deadline to submit to the Submitting Institution and NOT the Prime Sponsor deadline
- Select the Sponsor Deadline Type

Postmark: Proposal must leave the department or central office or be “postmarked” by the stated deadline. Typically used for U.S. Mail submissions
Receipt: Proposal must be received by the sponsor by the stated deadline. Use receipt if not otherwise noted in the program guidelines
Target: No hard deadline given by the sponsor. Use if department, PI, or program officer has a desired or “unofficial” deadline date
- Select the Notice of Opportunity
- Enter the Opportunity ID (if applicable)
Note: This is the funding opportunity announcement number
- Enter the Temporary Application ID (if applicable)
Note: The Temporary Application ID is the initial identifying number given by the sponsor upon creation of an application (ex: NSF Temp ID, Workspace ID)
Note: Number likely will change upon submission. If there is no Temporary Application ID, leave this field blank
- Enter the Final Proposal Sponsor ID (if applicable). If there is no Sponsor Proposal ID when this document is submitted to the central office for approval, leave this field blank
Note: This is the identifying number given by the sponsor upon submission of an application (NSF Proposal ID, Grants.gov Tracking #)
Note: This will most often be completed by the central office, or whoever is responsible for submitting the approved proposal to the sponsor
