What is a U of I Box Team Folder?

A Team Folder is a special Box account that any University faculty or staff member can request on behalf of his or her group, unit, or department. Though the requester must have a U of I Box Individual account to make his or her request, his or her Team Folder will not be a part of that account and will instead be owned by the University. This means that, once created, a Team Folder will remain active even if the user who requested it changes departments, closes his or her U of I Box Individual account, or leaves the University. U of I Box Team Folders are as easy to use as individual Box accounts and are great for the day-to-day management of shared unit data.

I have been made my Team Folder’s ’steward’. What does that mean?

When a Team Folder is created for you, you are automatically made its ‘steward’. A single Team Folder can have several stewards; but, ideally, this role should be restricted to one or two highly trustworthy people. As a steward, one of your first duties will be to add additional stewards, as needed.

As stewards, you will be the co-owners of all content that is uploaded by any user to any subfolder within your Team Folder. Among your most important duties will be to ensure that your highest (top-level) Team Folder has its permissions set up such that only its stewards can access it or change its settings. You will additionally be responsible for moderating user permissions and monitoring the content of your Team Folder and its subfolders.

If you must resign your stewardship, you will be responsible for granting another colleague steward-access and passing these duties on.

What is the difference between a Box Personal (free) account, a U of I Box Individual (Enterprise) account, and a U of I Box Team Folder account?

Box Personal (Free) Box Account

  • If you have your own Box Personal (free) account, you can login with your own User ID and password. Your account will not be related to your U of I Box Individual account.
  • You can share your Box Personal account files with your U of I Box Individual account. Please remember that your Personal account is allocated for 5GB. (Note: Box has a promo for 50GB for selected devices. For more information, see Box 50 GB Promotion FAQs on the Box website.)
  • NOTE: There are no Sync features available with the Box Personal account.

U of I Box Individual (Enterprise) Account

  • If you have a U of I Box Individual (Enterprise) account, you can login with your User ID and password. This account is not related to your Box Personal account.
  • You can share your Enterprise Box account files with your Personal account.
  • Sync features are available with an Enterprise accounts.

U of I Box Team Folder Accounts

  • If you are a University faculty or staff member and have a U of I Box Individual account, you may be eligible to have a Team Folder created for your unit, group, or department. A Team Folder has much more storage quota (currently 250 GB); and, once set up, it will not be dependent upon your U of I Box Individual account.
  • Permissions, Sync, and other features are identical with U of I Box Individual accounts; but Team Folder stewards must ensure that anyone who shares their Team Folder has their permissions set up properly.

How do I reset my campus choice for Box Login?

During a U of I Box login, you are asked to select between the three Illinois campuses.  If you select the Remember for a month option, you will no longer be asked to select a campus and will instead be automatically redirected to the correct campus during future Box logins.  If you need to reset your campus choice, simply use this alternative Box login link.

What is Sync and how do I install it?

If you would like a way to directly access to your U of I Box files without a web browser (as though U of I Box were a file folder on your desktop), you can install Box Sync.

  1. Log into https://box.illinois.edu/ with your @illinois.edu, @uis.edu, or @uic.edu email address & password.
  2. Go to https://www.box.com/settings/sync to download and install Box Sync for your system.
  3. Follow the onscreen instructions to install and use Box Sync.

My desktop is locked down and I'm unable to install the Sync client! What should I do?

In units where the ability to install software is restricted, you will need to work with your local IT staff to have the Sync client installed. All the other features of Box (including the ability to drag files into the web interface) will function without the Sync client.

Can retirees keep their U of I Box account?

In general, no. U of I Box is not licensed for retirees. Box does offer Personal (free) non-enterprise accounts with 5GB quotas, however; and Box also has a promo for 50GB for selected devices

Transferring data from a U of I Box Individual account to a Box Personal account is very simple.

  1. Sign up for a Personal (free) non-enterprise Box account.
  2. Manually copy & paste your files from your U of I Box account folders to your Box Personal account folders.
  3. Change the ownership of your Box Personal account folders:

    1. From your Box Personal account, invite your U of I Box account to collaborate on a folder.
    2. From your U of I Box account, accept the invitation.
    3. From your Box Personal account, mark your U of I Box account as the folder owner by entering the folder, mousing over your U of I Box account name, and selecting Access: Folder Owner.
    4. Confirm the change by pressing Okay.
  4. If you are a collaborator on a folder that you are not the owner of, you will have to have the owner re-collaborate with you through your Box Personal account.
  5. Once the preceding steps are completed, you can safely close your U of I Box account.

 Can I use U of I Box for web site hosting?

Box is a file storage and collaboration service. You will be unable to host a website by simply uploading web page files to your U of I Box account. However, you can easily store media files on U of I Box and link them to your web page using the Direct Linking feature.

Is the storage quota we're given fixed?

Although U of I Box Team Folders are considerably larger (currently 250 GB), these accounts are only for units, groups, or departments (not individuals). U of I Box Individual accounts are set at 50 GB for students, faculty, and staff. After full deployment, we will do an analysis to see if we can support increasing individual quotas, either globally or on demand.

If you have a unique use-case that requires a much larger quota, please do not hesitate to contact us. Even though we may not be able to provide it in the near term, an understanding of your needs will help us in the planning process.

Can we buy additional quota?

Our license does permit the purchase of additional quota in 10TB chunks for $20k per year. While we're not prepared to support this immediately, once we're fully in production, we probably will be able to do so. Note that we would have to have a fixed list of users for distributing the additional quota to, so let us know if you have a need.

If, however, you wish a larger U of I Box account for your unit, group, or department and you are a University faculty or staff member, you may qualify for a Team Folder account. Team Folders have considerably more storage space (currently 250 GB) and, once set up, they are not dependent upon your U of I Box Individual account.

What is the maximum size of a file I can upload to Box?

10 GB. However, we recommend you use the Box's Bulk Upload Tool instead of Sync for uploads larger than 100mbs. Box also supports WebDAV or FTP connections for larger uploads. For more information, see Does Box Support WebDAV or FTP Connections? on the Box website.

I'm used to mounting a shared network drive. Is U of I Box just another network drive?

Your U of I Box Individual account isn't intended to be a unit resource. It, rather, is a personal resource for your individual use. While there is nothing preventing you from using your U of I Box Individual account as a collaborative space, if you are a faculty or staff member, you may wish to request a U of I Box Team Folder instead. Team Folders accounts have considerably more quota than Individual accounts and they are designed for use by University groups, units, and departments.

There are a number of third-party apps for Box. Are they safe?

There are many third-party applications available for use within your U of I Box account, but many of these are not included in the U of I Box Terms of Service. This doesn’t mean you can’t use them, but it does mean that their security and appropriateness have not been reviewed. Also, many are not free. We have chosen to leave these apps available to the campus community, but please exercise caution when using any app, free or paid, with your U of I Box files. As with all internet-based applications, no third-party application should be used with confidential or high risk data (such as student data) unless the application has been reviewed by your campus security office (securitysupport@illinois.edu, infosec@uis.edu, security@uic.edu).
